              Case Study: Pipedrive to HubSpot Migration

              A client approached us looking to solve a problem that we often find amongst businesses. They needed a marketing tool that seamlessly integrated with their sales team. 

              HubSpot's platform was the primary contender because of their multiple Hubs: Sales, Marketing, Service, and CMS. Each of these Hubs can operate individually and together, ultimately removing silos between teams and creating a more unified strategy.               After making the decision to switch from Pipedrive to HubSpot, we strategized a transition plan with the primary focus to accurately move all CRM data from Pipedrive over to HubSpot’s CRM

              As engineers-turned-marketers, we're problem-solvers at heart. Reviewing data infrastructures, identifying ways to increase efficiency, and mapping out a plan to transfer all data is all a part of what we make happen. 

              Below is a high level overview of what we provided to our client to successfully migrate from Pipedrive to HubSpot.  

              1. Audit Pipedrive Data

              By thoroughly reviewing all Pipedrive data, we can ensure a 1:1 ratio for mapping. As a highly detail-oriented step, this eliminates confusion and inefficiencies down the road.   

              2. Map Pipedrive Fields to HubSpot Fields

              Once we understand the data we're working with, we created a mapping document to match Pipedrive fields with HubSpot fields. Aligning the proper pathways for the migration ensures accurate a smooth data transfer. 

              3. Use HubSpot’s Migration Tool

              Using HubSpots migration tool, we efficiently transferred all data into the client's new HubSpot portal, reducing human error and saving time (and we all know that time = money)!  

              4. Clean Up Data

              Just as it's written in the title, we reviewed and cleaned up the data to eliminate duplicates, outdated data, or incomplete data. HubSpot includes a data cleaning tool or this can be completely manually, based on the client's preference. 

              5. Verify Data

              Once the data is imported, we verified that it had been transferred correctly. This included double-checking that all the fields are accurately populated and ensuring there were no data discrepancies.

              6. Set Up Automation

              Now, it was time to leverage HubSpot's automation tools for better sales management. We created automation rules in HubSpot to automate tasks and workflows, which were previously done in Pipedrive. This included automating lead nurturing steps, deal stages, and follow-up tasks.

              7. Train Users

              What's a sales platform without it's sales team! Because all the previous Pipedrive data was not accurately in HubSpot with all the automation set up, we trained our client's team members how to use HubSpot effectively. Ensuring every member is comfortable operating in HubSpot's platform is a top priority. For this migration project, we trained on how to navigate the platform, create and manage contacts and deals, and use automation rules.

              8. Retire Pipedrive

              Once all the data is transferred and the team is trained in HubSpot, our client was able to retire Pipedrive and focus their attention on aligning their marketing and sales. As an extra measure, we encouraged our client to export the final backup of the data before officially canceling their Pipedrive account. 

              The Results

              Our client's Pipedrive CRM data was successfully migrated into HubSpot's platform. 

              • All Sales Hub Enterprise tools are fully operational 
              • 10 sales team members effectively leveraging the platform
              • 4 pipelines
              • 100% of data successfully moved over from Pipedrive including the following:
